Things to Know

Things to know before applying

We appreciate your interest in participating in the Canfield Fair!

Please review the following information carefully before submitting your application:

Selection Process

  • Applications are not selected on a first-come, first-served basis.
  • All vendors, including returning participants, must reapply each year.
  • To ensure variety, management may limit the number of vendors offering similar products.
  • Applications are evaluated based on:
    • Product type and market saturation
    • Product uniqueness and booth presentation
    • Availability of space and fair needs, as determined by management

Product Approval

  • Canfield Fair prioritizes a family-friendly environment and reserves the right to reject exhibits or content deemed inappropriate.
  • Approval may include all items listed or only a selection to maintain a balanced and appropriate vendor mix.
  • Only approved items may be brought onto the fairgrounds.
  • Any videos or amplified sound equipment must be included in the application and approved prior to the event.

Required Documentation

  • Acknowledgment of the Vendor Guide: Rules & Regulations, along with photos of your booth setup and product(s), must be submitted with your application.

Application Acceptance & Payment

  • Accepted vendors will receive a welcome email with an invoice and instructions for the next steps.
  • 100% payment is required by June 30, 2025, to secure your spot.
  • If your application is not approved, you will receive an email notification. We encourage you to apply again in the future, as event needs and space availability may change from year to year.

Vendor Space and Responsibilities

  • Vendors are expected to maintain appropriate stock levels for the entire duration of the Fair.
  • Inside Vendors: Booth space includes access to power a single 120V outlet.
  • Outside Vendors: Vendors must provide their own setup materials, including tents, canopies, power cords, etc.
  • Sharing space, advertising, or selling third-party products is prohibited.
  • Sales and soliciting must be confined to your assigned booth area.
  • Vendors must occupy their booth during event hours (10am -10pm daily) for the entire fair.

Insurance Requirements

  • Vendors must provide a Certificate of Liability Insurance (COI) by June 30, 2025.
  • COI must list Mahoning County Agricultural Society or Canfield Fair as an additional insured party for $500,000.00. Coverage must include load-in, event dates, and load-out dates. If you don't have your own insurance company or COI, please contact the Fair office to purchase a one time certificate

Compliance

  • Fair management has the discretion to close any booth that violates the Rules & Regulations or fails to comply with warnings during the event.
